For organisations

An organisation, a branch or school, brings several tutors and admins under one roof, with a shared timetable and your own branding. As an admin you run the whole space; your tutors teach and share resources within it.

Admins and tutors

From your home dashboard's Organisation administration section you can:

  • Invite co-admins: other people who help run the organisation. There's always at least one admin; the last one can't be removed.
  • Invite tutors: they teach the classes you assign and upload resources. A tutor only ever sees their own classes and pupils, never the whole org.

Good to know: Admins manage students, classes, the timetable and settings. Tutors focus on teaching. They can't change the roll of students or the timetable, which keeps everyone's data tidy and private.

Students and classes

Add students to classes and assign each class a tutor. The combined Classes view lets you search by class or by student name; a student in several classes shows under each. Under-18 students must each be linked to a parent/guardian.

You can invite students by email, or hand out a class's share link and QR code (the share icon on the class row) and let students, or their parents, set themselves up straight into that class. For a whole intake at once, use the CSV import below.

Terms and timetable

Organisation scheduling is top-down, so you set it once per term rather than class by class:

  1. Create a Term with its start and end dates (from Terms).
  2. Add the class-days it runs on (for example "Monday evening").
  3. Put each class on a class-day at its own time.
  4. Add any holidays/breaks. Those dates are skipped automatically.

Class occurrences and attendance then follow the term timetable, with breaks left out.

Branding & your public page

Give your space your organisation's name, logo and brand colours. Your colours carry across the app for everyone in the org, so it looks like yours. Light or dark is each person's own choice, set on their Account, so nobody is forced into a theme that doesn't suit them.

On the Pro plan you can also turn on a public page (Admin → Public page) at your-branch.tradroom.ie, with your logo, a welcome note, the instruments you teach, a featured video, a photo gallery, upcoming public events, and a contact form that never reveals your email. Published pages appear in the public directory, a searchable listing of schools and tutors across tradroom. It never shows any student information.

Bulk import (CSV)

Instead of inviting people one by one, you can import students, tutors and classes from a spreadsheet, one student per row. Go to Import.

What goes in the file

  • Required on every row: studentEmail, studentFirstName, studentLastName, tutorEmail and className (every student needs both a tutor and a class).
  • For a student in several classes, list them in the className cell separated by a semicolon, e.g. Concertina 1; Fiddle 1.
  • Optional: dateOfBirth (YYYY-MM-DD) and a parent/guardian (guardianFirstName, and optionally last name, email and phone). Give siblings the same guardianEmail to share one guardian.
  • For Comhaltas branches, you can also include membership details.

Not sure of the format?: On the import page, use the Download sample CSV button. It gives you a file with the right column headings. Just replace the example rows with your own and upload it back. Re-importing the same file is safe: it updates records rather than creating duplicates.

Reporting and export

Export org-wide attendance over any date range as a CSV for your records, and export your student, tutor and class information at any time. You can tag an import intake and export just that group later.
